External Mini-Bus for ICTP to Airports
EXTERNAL MINI-BUS COMPANY OFFERING TRANSPORTATION AT COMPETITIVE PRICES TO AND FROM AIRPORTS, ALSO AVAILABLE TO VISITORS & ICTP STAFF
Science-Bus, a mini bus service shuttle run by an external company, offers direct transportation in 8 seat modern mini buses to and from ICTP and the nearest airports Trieste/ Ronchi dei Legionari, Venice, Treviso and Ljubljana, at very competitive prices. It also serves other scientific institutions.
Any visitor or ICTP staff may use the service. This service improves and facilitates the connection to and from the airports. Guests staying at the Adriatico or Galileo Guesthouses will have "door to door" transportation without having to walk up or down from the main street /Strada Costiera carrying heavy luggage, as is the case for the regular airport bus 51 to Ronchi.
Kindly note that booking must be made MINIMUM 2 *WORKING* DAYS BEFORE 04.00 P.M. LOCAL TIME and same for cancellation.

Please note that as from 01 September 2010 payment must be done on line with credit card, no cash to driver anymore. The amount will be kept as a deposit until 2 days before transfer date. If cancellation is done 2 days before no cost will be charged. If it is done afterward 50% of amount due will be charged on the credit card. In case of "no show" the full amount will be charged. Additional cost (delays) will be paid directly to the driver.
1) Get a special voucher number beforehand (this allows access to the discounted ICTP tariff) from any of the following ICTP offices: Transportation (zerial@ictp.it), Operations & Travel, the receptions of the Adriatico and Galileo Guesthouses, Info Point in the Leonardo Building. Each number is for one person only, if there are more persons, more numbers are required.
2) After you have the voucher number, go to the web site: www.science-bus.com
3) Insert the voucher number in the window of the web site and book the mini-bus transportation required, indicating all details (arrival or departure time, wanted pick-up or drop-off place, contact telephone number and number of luggage items).
4) Science-Bus will give you by e-mail confirm the reservation and indicate the pick-up time for out-going travelers as well as the amount to be paid to the driver.
Trips may be booked also without voucher numbers, but then the regular price will be charged.
TRAVELLERS MUST NOT BE LATE AT THE PICK-UP TIME SINCE THERE MAY BE OTHER TRAVELLERS ON BOARD ALSO IN NEED OF REACHING THE AIRPORT IN TIME.

EXTRA COSTS FOR DELAYS
If, due to late arrival of the incoming plane or problems with the luggage, the traveler is delayed for more than 60 minutes, calculated as time from the planned flight arrival and when the traveler joins the driver, a waiting fee of 5,10 euro will be charged per each additional 15 minutes. If departure/arrival of plane at Ronchi is before 08.00 a.m or after 09.00 p.m. an additional fee of 2,40 euro will be charged, if at Venice or Treviso the additional fee will be 3,60 euro (night supplement). No additonal fee for Ljubljana. During public holidays and on Sundays an additional fee of 20% will be added to the cost only for Venice, Treviso and Ljubljana. No additional fee for Ronchi.
PICK-UP and DROP-OFF PLACES
Travelers can request pick-up and drop-off from the places listed below.
This will be made only from the Galileo and/or Adriatico guesthouses, BUT NOT from the Leonardo Building.
ICTP incoming travelers booked at Hotel Riviera, Miramare Hotel or Greif Hotel can - at the time of booking the transportation - request to be dropped off at these hotels. However, they are not pick-up places. Drop-off at these three hotels will not be done if only asked to the driver, it has to be requested during the booking.
FOR INCOMING TRAVELLERS:
The driver will be waiting for incoming travelers INSIDE the airport, with their names written on a sign.

Travelers can request pick-up from any of the places listed below.

ICTP STAFF ON MISSION
If the Science-Bus is used on mission, staff should pay the bus cost and get reimbursed via the terminal allowance, if entitled to such. In case of penalties to be paid due to the late arrival of the airplane, and the total amount exceeds the terminal allowance, the paid total should be claimed and reimbursed. Transportation to or from the Venice, Treviso and Ljubljana airports would be reimbursed, thus replacing the terminal allowance. Alternatively, for duty travels for which terminal allowance would be due, the Science-Bus booking can be done with a special voucher number that Science-Bus will invoice ICTP. Requests for such invoiced transportation should be made to the ICTP Transportation Office, and include the budget code to which the cost should be charged.
ICTP's Transportation office will continue to provide transportation services to special categories of visitors or staff, especially during normal working hours.
